Administration Assistant

(full time, fixed term for 12 months)

If you want to build a producing / management career in theatre Stan’s Cafe has probably the best job you could wish for.

We are a small company, which means you will be involved in all the action but unlike many small companies we work across a wide range of fields including: community, national and international touring, plus site-specific work and collaborations with schools, so you will get a broad experience.

We are friendly, professional and work hard and collaboration is at the heart of what we do, so as well as you learning from us we will listen to you. This is an ‘assistant’ job but the better you do the more responsibility you will be given.

There’s also the chance to see our shows and support special events. 

We are not messing around, we need you to bring great energy, smart thinking and proper dedication to Stan’s Cafe and we will repay you with an amazing developmental year and launch to your career. Initially for 1 year there may well be a possibility for the role to develop and continue.

Job Description

Administration

  • Day to day administrative support
  • Minute taking for a variety of meetings 
  • Arranging meetings on and offsite and managing diaries 
  • Updating online systems e.g. CRM software
  • Collating and inputting the company’s reporting requirements for funders and ensuring deadlines are met.
  • Supporting Producers on a wide range of  productions and projects 
  • Contracting artists and freelance staff as requested
  • Taking and contracting hire bookings.
  • Supporting the Creative Learning programme 
  • Supporting fundraising applications 
  • Collating and monitoring evaluation feedback
  • Assisting the General Manager in supporting the Board of Trustees

Finance 

  • Processing invoices and setting up payments
  • Assisting Producers in setting up and updating budget spreadsheets
  • Supporting funding reporting requirements
  • Processing expense claims
  • Setting up monthly payroll

Marketing

  • Marketing support for Productions and Creative Learning
  • Sending out regular newsletters
  • Updating the Stan’s Cafe subscribers list
  • Administering the Stan’s Cafe Friends scheme

Duty Management Shifts

  • Helping with room set ups
  • Locking and unlocking the building on a rota basis.

General

  • To maintain and uphold the core values and vision of the Company as set out in the Company Mission Statement and Core Beliefs
  • To be an advocate for the work of Stan’s Cafe
  • To take part in ongoing professional development and training as appropriate
  • To carry out any other reasonable duties to support the Company’s work

Person Specification

Essential

  • Good customer service skills
  • Good IT skills particularly Excel
  • Excellent organisational skills
  • Marketing support experience
  • Basic finance experience
  • Strong written skills
  • Attention to detail
  • A flexible approach to team working

Desirable

  • Previous experience of working on software packages 
  • An interest in theatre
  • Fundraising support 

Terms and Conditions

This is a full time role (37.5), fixed term contract for one year..

Day shifts are 7.5 hours,  Monday to Friday between 8am – 6pm.  Rotas offer some flexibility and will be agreed in advance.  

Reports to: General Manager

Salary: £24,375 or £12.50 per hour. 

25 days holiday, plus bank holidays and a close down over Christmas and New Year

Notice Period: 1 month

Location: Our Facility, Selly Oak, South Birmingham
